Notion’s Suggested Edits Are Here!
Notion has been on a roll lately, releasing new features almost every week that significantly improve productivity and expand its range of applications.
This week, they’ve added two more gems to the mix, and one of them is a real game-changer for team collaboration: Suggested Edits! 💎
What is Notion Suggested Edits?
Think of Suggested Edits as Notion’s version of Microsoft Word’s Track Changes feature.
It allows you to propose changes to page content, and these suggestions appear as comments on the right side of the page.
The page owner can then choose to accept or reject the suggested edits.
This feature is perfect for team editing and reviewing documents or for refining your own work.
How to Enable Notion Suggested Edits?
- Click the “…” icon in the top right corner of the page
- Enable the “Suggested edits” option
When you’re in review mode, you’ll see “Suggesting” displayed in the top right corner. Clicking “…” will reveal that there are limited options available in review mode.
To disable review mode, click the “X” to the right of “Suggesting” or click the “…” icon in the top right corner of the page and disable the “Suggested edits” option.
P.S. If you don’t want others to suggest edits on your page, you can click the “…” icon in the top right corner of the page, select “Lock Page,” and lock the page.
Notion Suggested Edits Features and Tutorial
(1) Review and Provide Editing Suggestions
As mentioned above, the primary function of Suggested Edits is to “review and provide editing suggestions.”
1️⃣ Proposing Editing Suggestions
Enable review mode and start editing directly on the page.
Editing suggestions will appear in blue text.
You can add:
- Text
- Bullets
- Numbered lists
- To-do boxes
2️⃣ Accepting or Rejecting Editing Suggestions
Hover over the editing suggestion box on the right, and the ✔︎ ❌ options will appear in the top right corner.
- 🙆♀️ Accepting a suggestion will automatically update the page content to the suggested text.
- 🙅♂️ Rejecting a suggestion will remove the editing suggestion from the right side.
3️⃣ Replying to Editing Suggestions
Just like the Comment feature, Suggested Edits also allows you to reply with emojis or text, tag other page members with permissions, and attach files.
Click on the editing suggestion box to reveal the emoji and text reply options.
(2) Receive Notifications
If someone uses review mode on your page to provide editing suggestions, you’ll receive a notification in your Inbox!
(3) Usage Conditions
There are some basic conditions for using the review feature:
- The reviewer must have “Can comment” permissions or higher on the page. This means that anyone with more than “Can view” permissions can use the review feature.
- The page owner has not locked the page.
- The page is not a database page: Notion currently does not allow review of database pages and other database features.
Notion Suggested Edits in Action
After testing Suggested Edits, I found the following limitations and observations:
(1) Editing Restrictions for “Sub-items”
Notion expert Thomas Frank discovered during his Suggested Edits testing that since Notion uses the same system for numbered lists, bullet points, etc., reviewers cannot add these sub-items.
In other words, in normal editing mode, you can have sub-items like a. b. c. under 1., but in review mode, reviewers cannot add these a. b. c. items unless the page owner has already created a sub-item like a., and then the reviewer can continue adding b. c., etc.
(2) Cannot Edit Titles
(3) Cannot Edit Databases
Nothing database-related can be edited in review mode.
(4) Cannot Use Shortcuts
Shortcuts for automatically creating headings with ###, quickly creating bullet points with *, and numbered lists with shortcuts, etc., cannot be used.
Who Can Use Notion Suggested Edits?
Suggested Edits is now available to all plan users of Notion!
Notion Suggested Edits vs. Comment Feature: What’s the Difference?
While they may seem similar, the review feature allows you to automatically change the text to the suggested text after accepting the suggestion, eliminating the need to copy and paste. This saves a lot of time!
My Thoughts
1. Efficiency Boost:
Notion’s Suggested Edits feature makes team collaboration, editing, and proofreading much more efficient!
Now, instead of directly modifying page content, we can see the original text alongside the suggested edits, compare them, and with a single click, accept the suggestion and update the original text. This is a huge time-saver!
2. Potential Messiness:
One potential downside is that unlike Word, you can’t toggle suggested edits on and off.
This means all the edits will remain visible until you accept or reject them, which might clutter the page a bit.
